SUMMARY:
Responsible for the day-to-day Operations Group administrative support, procurement, inventory monitoring, and transportation logistics. Perform general routine office duties including, but limited to typing, data input, file maintenance, operation of office equipment answering phones & etc. Perform the planning, coordination, and execution of Operations & Technology Group supply chain procurement, inventory oversight & control with multiple warehouse locations, and shipping & logistics of manufactured products. Interface, operate and maintain the company QuickBooks enterprise accounting system in the enterprise areas of operations supply chain/purchasing, inventory receiving, inventory control/management/tracking, monitoring sales orders and sales order back log, and shipping & logistics
ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned.)
- Provide professional support Operations & Technology Group and other company executives, including the administrative duties of domestic and international travel arrangements, calendar management and scheduling, expense reports, establish and maintain phone lists, business card database, forms, filing system, process and track confidentiality agreements and contracts.
- Maintain and operate company’s purchasing, inventory management and shipping/logistics system as directed by Operations and Technology Group managers; create and issue purchase orders, create and issue bills of lading & shipping manifest documents, oversee the accuracy of inventory managements system, as well as inventory management system reorder points and stock levels.
- Ability to identify, verify and document all material, raw material and finished good SKU items to ensure accurate inventory levels, prompt reorders of materials and raw materials with vendors, as well as the coordination of multiple warehouse locations of stock.
- Participate in vendor pricing negotiation and direct vendor delivery timelines on the procurement of materials and raw materials.
- Drive down cost by researching other vendors for materials and raw materials while observing customer and QA/QC specifications on materials and raw materials
- Perform the clerical handling, verifying, inputting and matching packing slip/shipping manifest documentation of received materials and raw materials with purchase order documentation; monitor all aspects as it related to material, raw material and finished product inventory control.
- Must be able to organize, document and participate in cycle counts and physical inventory counts of material, raw materials and finished product inventory. Maintain accurate inventory through the use of company QuickBooks enterprise accounting system and Excel spread systems ensuring adequate inventory of materials, raw materials and finished goods are readily available.
- Manage on-site routine filing systems of purchase orders, shipping records, contract data, and operations & quality records.
- Maintain company Quick Book enterprise accounting purchase order system.
- In collaboration with Quality Assurance/Control, participate in the establishment and implementation of processes, policies and procedures on quality approved vendor management program, including periodic audits of vendor performance.
- Communicate with company personnel, vendors, and to shipping companies on problem areas in purchasing, inventory management and shipping/logistics processes; then recommend procedures and solutions to increase quality of performance.
- Plan, coordinate, set-up and execute with the company’s Operations Management and Business Development Managers all domestic/international transportation logistics for the shipment of SCD Products.
- Plan and coordinate with company’s Business Development Managers and Licensees to determine optimal ship points based on cost, sales/shipping forecast, transit times, and any other relevant factors.
- Develop transportation and logistics processes to optimize the transportation and logistics network and lower transportation cost.
- Ensure correct bill of lading and shipping manifest documentation is provided on all outbound domestic and international shipments of SCD Probiotic Products.
- Leads and participates in the implementation, and training of employees on the site specific application of company’s Quick Book enterprise accounting system, web based shipping logistics system, and web based warehouse management system.
- Perform other related duties as directed that corresponds to the overall function of this position.
EDUCATION AND/OR EXPERIENCE:
- High school diploma or GED required. Administrative and Secretarial Associates’ or Business Degree preferred.
- Computer expertise and proficiency with MS Windows, MS Office and other related technology(s) to perform the functions of the position.
- Experience with QuickBooks enterprise accounting software or equivalent Oracle, SAP, GP Dynamics enterprise resource planning system is a must.
- Minimum of 3 years of purchasing, shipping logistics, inventory management, accounting and administrative experience.
- Strong process aptitude and understanding; and highly developed analytical and reasoning skills
- Highly developed and excellent verbal, written and presentation communication skills.

- While performing duties of this job, the employee will occasionally be exposed to moving mechanical parts, moving equipment and heights above four feet.
